About the role
The Senior Manager / Manager, Administration will oversee all administrative functions at ISDM, including facility management, procurement, logistics, managing administration budget & finances, and official travel management. They will also provide oversight for organization-wide events in coordination with various departments. Additionally, will also take up the project of transition to the new campus, ensuring seamless logistics, infrastructure setup, and operational continuity.

Key Responsibilities:

Facility and Infrastructure Management
  • Oversee the maintenance, security, and upkeep of office facilities and infrastructure.
  • Ensure compliance with safety, regulatory, and legal requirements for the ISDM Campus.
  • Manage vendor relationships for facility-related services.

Procurement and Logistics
  • Develop and implement procurement policies and procedures for efficient purchasing.
  • Oversee procurement of office supplies, equipment, and services while ensuring cost-effectiveness.
  • Manage logistics, including inventory control, asset management, and vendor coordination.
  • Provide logistical and administrative support for organization-wide events in coordination with relevant departments.

New Campus Transition and Setup
  • Lead the transition to the new campus, overseeing logistics, infrastructure readiness, and operational setup.
  • Ensure minimal disruption to ongoing operations during the move.
  • Coordinate with external vendors, contractors, and internal teams for a smooth transition.

Administration Budget and Finance Management
  • Plan, monitor, and manage the administration budget to ensure cost efficiency.
  • Track and control operational expenses related to administration, procurement, and logistics.
  • Manage the Annual Operating Plan for the Administration team.

Official Travel Management
  • Oversee the management official travel arrangements for ISDM through MyBiz (Travel Portal), ensuring cost-effective, financial alignment and smooth execution.
  • Provide an oversight on the management of the Travel arrangements for the guest faculty or other guests in coordination with the respective departments.

Cross-Departmental Coordination
  • Collaborate with internal stakeholders to ensure seamless administrative support for various functions.
  • Streamline policies and processes for better operational efficiency across departments.

Education & Qualifications Details:
  • Master’s degree in Business Administration, Facilities Management, Operations, or a related field.
  • Minimum of 15 years of experience in administration, facility management, procurement, and logistics management.
  • Proven experience in coordination and managing relationships with Internal stakeholders and external vendors.
  • Expertise in managing budgets, vendor negotiations, and operational processes.
  • Proven experience in handling large-scale office relocations or infrastructure transitions is a plus.
  • Experience working in the education institutions and students’ administration requirements
  • Strong leadership, problem-solving, and organizational skills with the ability to manage cross-functional teams.
  • Exceptional communication skills, both written and verbal, with the ability to collaborate with leaders, staff and students.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Strategic thinking and creativity in developing policies, processes and administrative compliances.
